Summary:  Renders clinical and patient care within the medical practice setting. Is directed by the physicians and supports them in caring for our patients. While also sharing in the general responsibilities of the day to day operation of the offices.

Duties and Responsibilities:

  • The MA is responsible for supporting the practice physicians and maintaining patient flow.
  • Patient care including rooming, vitals, history and procedure assisting.
  • Accurate clinical documentation in EMR.
  • Telephone triage, screening and making telephone calls with accurate message taking.
  • Management of ancillary testing, ordering and results reporting.
  • Clinic room setup, cleaning, and adequately supplied.

Qualifications/Skills:

  • Must be a certified medical assistant (CMA).
  • One or more years of relevant work experience required.
  • Otolaryngology specific and office procedure experience highly desirable.
  • Proficient with computers, electronic health records and excellent data entry skills.
  • Ability to multi task in a fast paced environment.  High energy level.
  • Excellent organizational skills, strong communication skills and attention to detail.
  • Hard working – friendly – pleasant attitude – excellent phone etiquette.
    Reliable transportation and a valid driver’s license.
  • Ability work as a member of the team.

Medical Billing and Collections Specialist/Financial Counselor

Position Title: Medical Billing and Collections Specialist/Financial Counselor
Department:   Revenue Cycle Management

Our Brockton office, and Revenue Cycle Management Center is seeking a part-time (32 hours) experienced billing and collections specialist.

Summary: The Billing Specialist works as a Financial Counselor provides guidance to patients in all aspects of their financial responsibilities that result from acceptance of the services.  Counselor assesses patients financial ability, determines ability to pay, advises patents to contact insurance company with questions regarding benefits, explains financial liability, puts credit card on file for payment, negotiates payment arrangement, and resolves any confusion the patient may have about their financial obligations to the practice. EClinical works (eCW) experience is a plus. May be required to work flexible hours.

Duties and Responsibilities:

  • Participate in rotation of Lockbox, Create/Submit Claims and Answering questions, post and appeal denied claims.
  • Managing, monitoring and collecting and posting payment on accounts from third party payers and assigned plans. Research denied claims and make corrections for re-filing.
  • Copies EOB for paper claims and ensures they are matched to the appropriate claims.
  • Creates estimates using Navicare TOS Cost Estimator.
  • Review/Scrub Schedule for the following:
    • Patient balances over $50.00- calls patients to inform them.
    • Confirmation of Patient Deductibles- Commercial/HMO Plans.  Office Procedures including Balloons, New Patient Appointments with potential for nasal Endoscopy and Laryngoscopy, FNAs, Videostrobes, speech therapy.
    • Self-Pay Balances overdue.
    • Monies due on payment plans.
    • Identification of patients whom may require ABN (Not sure if there is any).
    • Accepts payments over the telephone.
    • Releases accounts “on hold” once balance is paid.
    • Reviews potential “high dollar” accounts.
    • Appropriately identifies trends and issues in registration and involves the supervisor for resolution related to billing problems.
    • Consistently identify and accurately obtain required information such as Medicare Secondary Payer, insurance filing order, medical necessity, etc.
    • Effectively interact with internal and external customers, building a productive relationship.
    • Understands more complex healthcare concepts as they pertain to registration and insurance.
    • Other duties as assigned.

 Qualifications/Skills:

  • High School Diploma or equivalent required. Advanced education in medical billing preferred.
  • Previous experience working in accounts receivable/billing and collecting in a healthcare setting and experience with insurance billing preferred.
  • Ability to analyze cost/reimbursement of accounts.
  • Medical Terminology including CPT-4 procedure coding.  ICD-9 and/or 10 diagnostic coding, and HCPCS coding preferred.
  • Demonstrates tact to effectively deal with patients, physicians and other employees in the practice.
  • Possesses a knowledge and experience with modern office procedures, office equipment and medical terminology.
  • Proficient with computers, electronic health records and excellent data entry skills.
  • Excellent organizational skills, strong communication skills and attention to detail.

Intake Specialist

Position Title:   Intake Specialist
Department:     Patient Services Center, Brockton

ENT Specialists, Inc. is a group of physicians, nurses, medical assistants, audiologists and support staff dedicated to providing high quality ENT services to patients in four communities.

Our Brockton office, and Patient Services Center is seeking a full time experienced intake specialist.

Summary: The Intake Specialist is responsible for coordinating all aspects of the patient intake process. The process includes obtaining patient referral information directly from patients, physicians, case managers, office staff and other sources. The staff member is responsible for obtaining and accurately recording and entering the patient’s demographics, insurance information and other essential elements relating to coordinating the patients visit. The Intake Specialist is responsible for establishing and maintaining positive relationships with customers, referral sources, staff and responding to customer requests and concerns. Processes thorough, accurate and complete referrals and new orders based upon current contracts and information from payor sources including obtaining appropriate authorizations/re-authorizations for services where required. Effectively communicates referrals and patient information to all staff.

Duties and Responsibilities:

  • Receives and coordinates all referrals to include notification of insurance providers for prior authorization and covered services.
  • Effectively screens, verifies, and reports patient information.
  • Complete the ‘Patient Demographic page”, for each telephone inquiry regarding available services, obtaining and verifying all information required, and completing the intake with date and time.
  • Verify referring physician and correct PCP for every new patient.
  • Verify the type of payor coverage the caller has prior to admission and complete pre-certification if required.
  • Schedules appointments for new patients to come to the ENT office locations for on-site assessment and admission to the ENT service.
  • Collaborate with staff to ensure proper scheduling.
  • Effectively utilize text, telephone or electronic communication with office staff.
  • Using discretion and independent judgment in handling patient or physician complaints, documents and forwards to appropriate administrative staff.
  • Files all office records as necessary including updating Patient Tracking log daily.

Qualifications/Skills:

  • Must have a High School Diploma or equivalent, associate’s degree preferred.
  • Two years (minimum) of experience in intake or scheduling in a health care setting desired.
  • Working knowledge of Medicare, Medicaid and other commercial insurances, preauthorization and utilization management.
  • Proficient computer skills and working knowledge of EMR, Email and Microsoft Office products, as well as experience with word processing and database systems.
  • Experience with E Clinical Works (EHR) system, a plus.
  • Must possess excellent oral and written communication skills and have the ability to multi-task at all times in a fast-paced environment.
  • Basic medical terminology and knowledge of medical specialties and insurance is required.
  • Need to be proficient with computers and data entry and familiar with medical terms and procedures.
  • Highly effective in working objectively with a diverse group of people and must demonstrate communication, organizational, administrative and office managerial skills.
  • Must be a team player willing to accept and promote organizational goals and function with minimal supervision.
